Special Price List

Overview

A Special Price List is a customized pricing structure derived from a Standard Price List, used to define preferential or discounted rates for specific items. These special rates are applied based on various criteria such as Customer, Customer Group, Item, Item Group, or Supplier, and may also consider factors like validity periods, quantities, or currency. Special Price Lists override standard pricing when the defined conditions are met. This allows businesses to offer tailored pricing strategies for different market segments.

iVendNext supports dynamic pricing through configurable Price Lists, allowing adjustments based on predefined customers, customer groups, items, item groups, or other business criteria.

Special Price Lists are independent of Base Price Lists and contain fixed item prices. Therefore, percentage-based discounts cannot be applied directly through the Special Price List itself, but can be implemented using discount groups or other pricing mechanisms.

Steps to Create a Special Price List

Creating a Special Price List in iVendNext is no different than creating a Standard Price List. Hereโ€™s a step-by-step guide:

1. Accessing the Price List Section

You can access the Price List section in iVendNext Via Retail Menu: Navigate to Home > Retail > Items and Pricing > Price List.

2. Creating a Special Price List

Click on the Add Price List button to open the New Price List Creation screen.

3. Define the Price List Name

Enter a name that reflects the purpose of the Price List (e.g., "Special Price List for New York").

4. Select Currency

Choose the currency for the Price List. (e.g., USD).

5. Specify the Price List Type 

Select whether the Price List is for Selling or Buying. (e.g., Selling)

6. Specify Applicable Countries 

Define the countries where this Special Price List will be applied. (e.g., United States)

7. Enable/Disable

Toggle the checkbox to enable the Price List. Disabled Price Lists will not be available for selection in transactions.

8. Save 

Click the Save button to save the changes and exit the New Price List Creation screen. The newly created  Special Price List New York can be seen listed on the Price List View screen.


Steps to attach Special Price to an Item

Now that you have created a Special Price List, you must attach Special Price to an item. The steps to attach a Special Price to an item in iVendNext are explained below: 

Access The Item Price List Screen

Navigate to Home > Retail. Then under the "Items and Pricing" section click on the Item Price shortcut. This should take you to the Item Price List View Screen. 

Launch the Item Price Creation Screen

Click on the "Add Item Price" button to launch the Item Price Creation Screen.

Select the Item Code: 

Choose the item you want to add to the Price List. For illustration we have selected the Item (MS-1001).

Define Unit of Measure (UOM)

Specify the UOM for the item (e.g., boxes, kilos). For illustration we have kept the UOM as Each.

Select the Price List 

Select the Special Price List you created earlier.

Set the Rate

Enter the rate for the item. For illustration we have specified the special price of the item as USD 14.99.

Set Validity Dates

Define the validity period for the item price (optional).

Save

Click the Save button to save the changes and exit the screen. 

Assign the Special Price List to Customer

The steps to assign the Special Price List to Tony Stark are summarized below:

Access The Customer List View Screen

Navigate to Home > CRM. Then under the "Sales Pipeline" section click on the Customer shortcut. This should take you to the Customer List View Screen. 

Launch the Customer Master Screen 

Click on the Customer Name on the Customer List View Screen to open the Customer Master Screen.  

Map the Special Price List

Map the Special Price List to the customer in the Default Price List drop-down field.

Item MS-1001 (Men Solid Shirt) has a Regular Price of USD 29.99, which the system applies by default. This default behavior is triggered by the Regular Price List

However, when Tony Stark (Special Customer) is selected at the Point of Sale, the

Special Price of USD 14.99 is applied by default. This special behavior is triggered by the Special Price List

This automatically overrides the Standard Price List  demonstrating that the pricing logic is tiered by association, not hard-coded per transaction. 

Special Price List Linking

From the previous example we can conclude that - "In the absence of a designated Special Price List, the application defaults to the Standard Price List." However, to keep things simple to understand, we took the example where we had only one Special Customer. 

What if we want to apply a Special Price List to multiple customers.  iVendNext allows you to define specific rates for items based on customer groups and item groups.
