POS Profile

iVendNext POS · checked 2026-10-26

A POS Profile is the setup a store's tills run on: the store, the price list, the payment methods, the printers and the look of the till. Each cashier has one POS Profile for each store they sell at, and the iVendNext POS opens the cashier's day on it.

Where to find it

In iVendNext Desk, type POS Profile in the search bar and open the list. Select Add POS Profile to make one, or open a row to change a profile.

The POS Profile Durban in iVendNext Desk: the connections to POS Invoice and the opening and closing entries, then Company and Store.

The Payment Methods table of the POS Profile, with Cash as the default and allowed in returns.

What the iVendNext POS does with it

A cashier's user record links each store to a POS Profile, on the Cashier Settings tab, in Allow Access to Stores. When the cashier starts the day at a till, the iVendNext POS opens the day on the POS Profile for that till's store. See Your Trading Day and Starting Your Day.

During the day, the till prices items from the profile's price list, and offers the profile's payment methods. It prints receipts with the profile's layouts. Its look comes from the profile's theme in POS Studio.

Interface Profile, Theme and the Toast Setting section set up the Desk POS. The iVendNext POS draws its own screens and does not use them.

The fields that matter

Details

Field What to enter What the till does
Company The company the store belongs to. Required. Sales on this profile book to this company.
Store The store the profile sells from. Required. Desk lists only stores with Is Retail Store ticked. The till sells this store's stock. A cashier's store row must name a profile of that same store.
Disabled Tick it to stop new sales on this profile. A cashier assigned to it cannot start a day. Sales it already rang can still be returned.

Payment Methods

Field What to enter What the till does
Payment Template A shared list of methods. Optional. The payment screen lists the template's methods. See Payment Template.
Update Payment Select it after you choose a template. Desk replaces the Payment Methods rows with the template's rows.
Payment Methods One row per method. Required. Tick Default on your cash method. Tick Allow in Returns on each method that may pay a refund. With no template linked, the payment screen lists these rows. Refunds go only to rows with Allow in Returns. The Default cash method is the one the drawer counts.

POS (Till, Tablet and Phone)

This section belongs to the iVendNext POS.

Field What to enter What the till does
POS Card Terminal Adapter, POS Card Terminal ID The integrated card terminal for these tills. Once set, typed card entry is not offered. See Cash and Card.
Cards Settle on the Bank's Card Machine Tick it if cashiers run cards on the bank's own machine. The cashier records the card details and the approval code. The till ignores this box when an adapter is set.
POS Simulated Card (demo only) Leave it clear in a live store. It fakes card capture for a demo. When it is off, the till refuses a demo card payment.
POS Offline Selling Default, Enabled or Disabled. Default follows Retail Setting. Enabled turns offline selling on for these tills, even if the site has it off. Disabled blocks it. See Selling When the Connection Drops.
POS Layaway Default, Enabled or Disabled. Default follows Retail Setting. Disabled turns layaway and deposits off here. It cannot turn layaway on when the site has it off. See Split Tender and Layaway.
Network Printer The printer for this store's tills that have none of their own. Papers print where the cashier stands. Leave it empty if the site has one printer. See Delivering a Receipt.
Theme (Till, Tablet and Phone) A theme from POS Studio. The till, tablet and phone look the way that theme says.
Stores this till may see Other stores whose stock these tills may show. The tills order only from the listed retail stores. Empty shows every store. See Endless Aisle and Delivery.
Lot choice at the till Suggest or Enforce first expiry. Suggest proposes the lot that expires first. Enforce first expiry needs a manager and a reason for any other lot.
Minimum days left on a lot, A lot under the minimum A number of days, then Warn or Refuse. A lot with fewer days left is marked in the lot list, or needs a manager and a reason to sell. 0 means no minimum.
Cumulative Discount Threshold (%) A percentage, or 0. It replaces the site's cumulative discount limit for these tills. 0 uses the site default.
Field What to enter What the till does
Print Format The receipt layout. It must be a layout for POS Invoice. Receipts print with it. When you change it, Desk tries it on a sale this profile has booked, and refuses a layout that cannot print it.
Receipt Header, Receipt Footer Lines such as the address and tax number, or a returns policy. They print under the store name and at the end of the standard receipt, as written.
Call Numbers Tick it for counters that call customers by number. Each paid sale gets its till's next number for the day. The prefix is on the POS Terminal.
Item Options Tick it if your items have option groups. Adding such an item asks for its choices.
Gift Receipt Format Your gift receipt layout. Gift copies print with it. See Gift Receipts and Reprints.
Suspended Receipt Format A slip layout. Desk lists only POS Invoice layouts. When Retail Setting has park slips on, the till prints this slip when a sale is parked, including a sale sent to another till. Empty: the till uses its own slip.
Shift Count Print, Shift Summary Print, X Report Format The layouts of the day's papers. A paper with no layout is refused by name. See Ending Your Day.

Email, sales person and accounting

Field What to enter What the till does
Email, Email Notification Tick Email, then choose the email notification for POS Invoice. Desk refuses to save Email without a notification.
Default Sales Person, Sales Person Mode A seller for this store, and Manual or Automatic. With a default seller, or the mode set to Automatic, the sale shows who served it, when the store has a seller. Desk lists only sellers who can sell at this store.
Price List, Currency Nothing. Desk fills them in. When you save, they come from the store's Selling Price List. The till prices items from it.
Write Off Account, Write Off Cost Center Your write-off account and cost center. Required. Desk needs both to save the profile.

The customer display screens are set in Customer Display Setting. Set the Idle Screen Profile and the Transaction Screen Profile, or the display does not start.
