Quotations and Fulfillment Plans

This page covers two things you set up before a sale completes: a quotation, which saves a priced basket for a customer to buy later, and a fulfillment plan, which carries the dates and the delivery charge on a delivery order. Both are the store's own documents. The phone composes and reads them; it does not keep a separate copy.

Quotations

A quotation saves a priced basket for a named customer, so you can sell from it later without rebuilding it.

Saving a quotation

Build a basket, then save it as a quotation for a named customer. The app keeps it until a date, which it fills in from your business's configured quote validity. When that validity is not set, it falls through to your business default, and then to thirty days.

A quotation keeps in-store items only. It cannot carry a pickup line, a delivery line, or a gift card, and each of those is refused up front.

Selling from a quotation

You find a saved quotation in the Boards area of the app, open it, and choose the lines to sell, all of them or some. A quotation converts into a plain sale, or into a delivery order when the customer has a delivery address on file.

  • Lines already sold from that quotation are named back to you, not quietly dropped, so converting a quotation twice does not sell the same line again.
  • An offer that was attached to another item converts together with that item, or not at all.
  • A quotation shows the price it will book, which is the quotation's own price, not whatever the basket would price at now.

When a quotation has lapsed, you can still sell from it, but only where your business allows selling from a lapsed quotation and you personally have the permission for it. Held prices are not honored by accident.

Fulfillment plans

A fulfillment plan is what a delivery order uses to carry its delivery dates and its delivery charge. You work with plans on the order screen when you take a delivery order, described in Endless Aisle and Delivery.

  • A plan attaches automatically or by hand. When your store has a default delivery plan, it attaches on its own. Otherwise you choose one. You can change or remove the plan before you take payment.
  • A store with no default delivery plan cannot take orders at all. This reads like a fault, but it is a setup step. The refusal names the exact field to fill on the store's record. This is the single most common setup omission in this area.
  • One line rides exactly one plan. You can move a single line onto its own plan, so that items going out on different days each carry their own delivery date.
  • Each group has its own delivery date, and the order as a whole has one address. Several plans with different dates can sit on one order, but they share one address.
  • Individual items can be routed to a different delivery store, where your business has cross-store trading on. A line whose store is already set by its fulfillment lane cannot be re-routed this way.
  • Delivery charges are applied by the store's system from the plan's own configuration. The phone does not compute them.

The delivery plan is chosen once, on the order page. When you move to the Take Payment screen, that screen states the plan or plans on the order in a read-only summary. It shows you what will be delivered, and it cannot change the plan. A recalled order that is being edited has its plans frozen; you cannot change the plans on it.

Deposits

A delivery order needs a deposit before it will book, and a quotation that converts is paid in one payment. How a deposit and a payment are taken, which tenders are offered, and what a drawerless till can and cannot do are all covered in Payments and Tender. In short, a delivery order deposit today is taken in cash on a till with a drawer, and card becomes available as a deposit once your acquirer is certified.
