Check Gift Card Balance
A gift card is a prepaid amount a customer can spend at your stores. The till sells a gift card like any other item, and the receipt shows the card's number. A gift card carries a specific amount of money that can be used at the Store to make purchases.
A gift card is either System Generated or User Defined. It pays for part or all of a sale at the till.
Every Gift Card issued in iVendNext carries a unique number and depending on the customer's preference, can either be redeemed partially or in full.
Check the Gift Card Balance
The customer can ask the cashier, who tries the card at the till (see below). A back office user with the right can read the balance on the card's record in Desk.
From the Gift Card record
- Search Desk for Gift Card and open the list.
- Open the card by its number. The number is the card's serial number, as printed on the receipt.
The card's record shows these fields:
- First Name
- Item
- Total
- Balance
- Gift Card Type
- Cashback
- Expired
- Recharge
- Allow Multiple Redemptions
The Reference tab shows the POS Invoice that sold the card, its Posting Date, the POS Invoice Item and the Warehouse. Click the POS Invoice link to open that sale.
The Gift Card Journal, in the Gift Cards group of the Retail workspace, lists every purchase, redemption, recharge and cashback of a card with its current balance. See Gift Card Journal.
Setting a card's balance
A Retail Manager can set a card's balance to a new figure with a Gift Card Balance record. The figure replaces the balance, it is not added to it.
- Search Desk for Gift Card Balance and press Add Gift Card Balance.
- Choose the Gift Card, and enter the new Balance.
- Press Save, then Submit.
You see "Balance Updated". The card's record keeps a comment that names the Gift Card Balance record.
At the till
The cashier enters the gift card for payment on the till. The app checks the card against your back office record. When the card is short of the amount, the app says so and names the balance that remains. See Balance-backed Tenders.
