Gift card on spend gives a customer your own gift card when a sale reaches your threshold. The customer can spend the card after a waiting time, 24 hours by default. This page covers what the app adds, how to set it up, what each card's status means, and how to remove it.
What it does
The cashier rings the sale as before. Nothing changes at the till. About half a minute after a sale books, the app checks what the customer spent. If the spend reaches your threshold, the app makes a gift card from your own gift card item.
The card starts at a balance of 0, so the till refuses it while it waits. When the waiting time has passed, the app raises the card to its value. People with the Sales Manager or System Manager role see each card under the customer and under the sale, in Gift cards.
The spend is what the customer paid, tax included. A gift card sold on the sale does not count. Neither does any part paid with a gift card, store credit, loyalty points or on account, so stored value and credit never earn a card. An exchange earns on what the customer paid in the end.
When a sale is canceled, or its returns take the spend below your threshold, the app voids the cards that the sale no longer earns. A card that the customer already used at the till is not changed. The app marks it Review for you to decide.
Each card is a promotion cost. When a customer spends it, your gift card account is debited with no sale behind it. Book it as you book a promotion.
What you set up first
You need a gift card item that is not rechargeable, not paid out as cash and not store credit. If it expires, it must not expire before the waiting time ends. The app makes no card from any other item.
- Install the app from the App library (see About Retail Extensions). The install adds the role IVENDNEXT GCS Integration, with no one in it.
- In Desk, search for Role Permissions Manager. Give the role IVENDNEXT GCS Integration these rights: Read on POS Invoice, Customer and Item; Read and Create on Gift Card; Read, Create and Submit on Gift Card Balance.
- Make a user for the app. Tick Is Desk User, give it that role alone and save. Then generate its API key: on the user, open Settings and press Generate Keys. With these rights its key can set the balance of any gift card in your shop, so give the role to no one else.
- Make the settings record (below), then tick "Enabled (sales earn cards)".
- Search Desk for Registered Application and open IVENDNEXT GCS Sales. Choose the app's user as its Application User, tick POS Invoice and save.
- In the App library, find the app under Installed and press Details. On the app's record, press Connect again. The record then says that it sent the API key of the app's user.
Settings
Search Desk for IVENDNEXT GCS Settings and press Add. Enter Default as its Title: the app reads only the record with that title, and makes no card without it. Then fill in the rest.
| Field | What to enter |
|---|---|
| "Enabled (sales earn cards)" | Tick it when the rest is filled in. A sale booked while it is off earns nothing, even later. |
| "Currency (a sale in another currency earns nothing)" | The currency of the sales that earn a card. |
| "Decimal places" | The decimal places of that currency. |
| "Spend that earns a card" | Your threshold. |
| "Value of each card" | The value of each card. |
| "Gift card item (a gift card item that is not store credit and not rechargeable)" | Your gift card item. |
| "Cards per sale (1 = one card; more = one for each full threshold, up to this)" | 1 gives one card per sale. A higher number gives one card for each full threshold, up to that number. |
| "Hold before the card can be spent (hours)" | How long a new card waits before the customer can spend it. 24 by default. |
| "Walk-in customers (never earn), one per line" | Your walk-in customers. |
| "Customer groups that never earn, one per line" | The groups whose customers never earn a card. |
Where it shows
The app adds no till key and no till screen. In Desk, open a customer or a sale and look under Gift cards.
Earned gift cards
Search Desk for IVENDNEXT GCS Card to see every card the app made. Each card shows the customer, the sale that earned it, the gift card and its number, its value, the time from which it can be spent ("Spendable from, about (the shop's time)") and its status:
| Status | What it means |
|---|---|
| Issuing | The app is making the gift card. It moves on within a minute. |
| Held | The card is at 0 and the till refuses it. Its waiting time has not passed yet. |
| Released | The card has its value, and the customer can spend it at the till. |
| Voided | The sale was canceled or returned, so the card stays at 0, or was set back to 0. |
| Review | The app found something it will not change by itself, and the card's note says what. For example, the sale was canceled after the customer used the card, or the card already had a balance when it was due. Nothing was taken from it. You decide. |
The card number is not on the sale's receipt, and nothing sends it to the customer. A Sales Manager reads it under the customer and tells them.
What leaves your shop
The app's service runs at gift-card-on-spend.ivendnext.app, hosted by CitiXsys. After the install, and when you press Connect again, your site sends the service its key from the App library, its address, and the API key of the app's user. With that key the service reads your sales, returns, customers and the gift card item, and writes gift cards, gift card balances and its own card records.
Limits
- A sale made offline earns its card when the till syncs.
- A return without the receipt cannot be matched to a sale, so it voids nothing.
- Switching the app off stops new cards only. Cards that wait are still released when their time comes.
How to remove it
- Before you uninstall, release or void the cards that still wait. A card that still waits stays at 0.
- In the App library, find the app under Installed and press Details.
- On the app's record, press Export and uninstall and confirm. iVendNext first exports every card record to a file, and tells the service that the app was removed.
- iVendNext removes the settings, the card records and the role. The gift cards themselves stay in your shop.
- Make a new API key for the app's user, or disable the user, so the key the service had stops working.
