Cash and card are the two everyday ways to settle a sale: cash behaves in one of two ways depending on your till, and a card is taken on your bank's terminal and recorded here. This page covers both. For moving cash in and out of the drawer, the no-sale open, and the mid-shift read, see Cash and the Drawer.
Cash behaves two ways
Cash does not behave one way here. It behaves two ways, and which one you get was decided when the day was opened, not by a setting someone can change while you are serving. Changing the drawer setting mid-shift re-routes nothing, so the sale you are on keeps the behavior the day started with.
On a till that has a cash drawer
The phone is the till. You take the money and it books here.
- Pick the currency if your store takes more than one. Each currency is offered because a payment method books into it, not as a conversion the phone invented.
- Type what the customer actually handed over. This is the one figure in the whole area that genuinely comes from you, because no system can know it.
- The app rounds the figure to your method's own grain, exactly as one of your registers would round it, and it has to cover the amount due.
- The surplus is the change, worked out by your store's system.
- If the method is set to open a drawer, the drawer opens. That is your method's own setting, the same one your register hardware obeys.
What will stop you here, and what to do:
| What happened | What to do |
|---|---|
| No cash figure, or a figure of zero or below | Type what the customer handed over |
| The rounded figure does not cover the amount due | Take the rest, or add a second payment |
| Your store takes no cash in the currency you picked | Choose one of the offered currencies |
| That currency has no exchange rate set up | Take another currency, or ask an administrator to set the rate |
| The cash method has no ledger account for this company | Ask an administrator. This one is the account, not the rate, and they are different fixes |
| The shift has reached its age-restricted-sales lockout | Contact a store manager. Cash stops at the till rather than after it |
On a drawered till, you may also get a warning that the shift is approaching its lockout, on the sale that took you there. The warning rides the sale you just finished, so there is no extra step for you.
On a till with no cash drawer
There is no cash on this device at all. A phone with no drawer keeps no cash, so the app never claims it does. What happens instead is that you send the whole sale to a register.
- Choose a register. Only registers that have a drawer are offered, this device is never one of them, and on a business running more than one company, only registers belonging to the same company as this sale are offered. A register that fails any of these three tests is not offered. Picking a till from the wrong company is the usual reason one goes missing from the list.
- If your store requires a reason, you record one first. Without a reason, the sale is not sent and nothing is written.
- The sale appears in that register's own recall list as a held sale with no money on it, and staff there finish it with the register's full payment screen.
- If your store has set up a slip for it, the app prints one.
A held sale cannot carry a payment. That is the shape of the document your store's system uses for it, not a check someone could forget to write.
Card is recorded, not taken on the phone
The app does not take the card. The customer's card is taken on your bank's own terminal, exactly as it is today, and the app records that payment against the sale. Both easy summaries are wrong: the phone does not take card payments, and the phone is not unable to do card either. It records a card payment your bank's terminal took.
Which of three setups your store has decides what a card moment looks like:
| Your store's setup | What a card moment looks like |
|---|---|
| Cards settle on your bank's terminal, switched on per till by your administrator | You run the card on the bank's terminal and record it here. This is a real card payment: the customer is genuinely charged |
| An integrated terminal is named on your till profile | Typed card entry is not offered. Integrated card becomes available once your acquirer is certified |
| Neither, which is what a fresh installation has | The card row is drawn but cannot be picked, and its reason names the store's missing card setup |
A fresh installation has no card capture switched on, so on an untouched setup a card payment on the phone is refused. Switching on bank's-terminal settlement is a deliberate, per-till decision your administrator makes. Where an integrated terminal is named, it always wins and typed entry stops being offered.
Recording a card taken on your bank's terminal
Run the card on the terminal, then record four things:
- The cardholder name.
- The last four digits of the card.
- The expiry, as a month and a year.
- The approval reference from the terminal's slip.
The approval reference is required here. It is the only link between this sale and money your bank already moved, so a card recorded without it is refused. If the app tells you the slip number is already on another sale, check the paper before charging again.
Where a card can be recorded on the device
On a store that records cards on its bank's terminal, the device records a card only on the immediate sale. Other money moments do not accept typed card details and go to a register instead:
- A leg of a split payment.
- A deposit, an instalment, or a settlement on a layaway plan.
- A collection against a customer's account.
This is a real boundary, not a fault. When a card refusal names a register, take the money there. On a store that records cards on its bank's terminal, an account collection has no card route on the device at all, so it is settled at a register.
