Price change approvals across stores

Retail Extensions · checked 2026-10-15

Price change approvals across stores let each store's manager, or head office, approve a price change asked for by that store. This page covers what the app adds, what to set up first, and how to remove it.

What it does

A member of staff raises a request for one store: the item, the price list, the new price and the reason. The store's manager approves it, or head office does; head office sees every store's requests. Once it is approved, the person who applies prices sets the new price and marks the request applied: its state then reads IVENDNEXT APS Applied. Every change to a request is kept in its history.

An approval-rule table lists each approver's level and, for a store manager, a limit in percent. The approval flow itself does not check that limit. A service you connect checks it; on its own, the app lets a store manager approve any change.

A request names a store, but a price list has no store: applying a request changes that price list for every store that uses it.

What you set up first

  1. Install the app from the App library (see About Retail Extensions). This app needs a key from iVendNext or your partner. The install adds four roles with no one in them: IVENDNEXT APS Requester, IVENDNEXT APS Store Manager, IVENDNEXT APS Head Office and IVENDNEXT APS Applier.
  2. In Desk, search for User and open each person who will use the app. Tick Is Desk User and add one of the four roles. Give no one both a raising role and an approving role.
  3. A System Manager searches Desk for IVENDNEXT APS Approval Rule and adds one row for each approver: the person, their level (Store or Head Office) and, for a store manager, their store and a limit in percent.
  4. For each store manager, search Desk for User Permission and add one that allows their store, which is a POS Profile. They then see only that store's requests. Head office needs none. The same permission also limits every other record that names that POS Profile, such as that store's till sales, and a store with several tills has several POS Profiles.
  5. In Desk, open Role Permissions Manager, choose Item Price and give IVENDNEXT APS Applier the Write right at level 0. The right goes with the app when you remove it, so give it back to a role of your own first.

Where it shows

It lives in Desk only. It adds no till key and no till screen.

Price change requests

Search Desk for IVENDNEXT APS Price Change Request. A request names its Store, and its currency comes from the price list. It moves through these states:

State Who can move it on
IVENDNEXT APS Requested The Store Manager approves (IVENDNEXT APS Store Approved) or head office approves (IVENDNEXT APS Head Office Approved), or either rejects it
IVENDNEXT APS Store Approved Head office approves it, or the Applier applies it; either approver can reject it
IVENDNEXT APS Head Office Approved The Applier applies it; head office can reject it
IVENDNEXT APS Rejected Nobody: the request is closed
IVENDNEXT APS Applied Nobody: the Applier has set the price

Each action is shown with the prefix IVENDNEXT APS, for example IVENDNEXT APS Store Approve.

Approval rules

Search Desk for IVENDNEXT APS Approval Rule. There is one row for each person: their Level, Store (for a Store level) and Limit, percent of the price now (for a Store level). Only a System Manager changes the rows; the Applier can read them.

What leaves your shop

Nothing. The app names no outside address, till key, webhook, service or print layout.

How to remove it

  1. First, give Write on Item Price to a role of your own in Role Permissions Manager: the Applier's right goes with the app.
  2. In the App library, find the app under Installed and press Details.
  3. On the app's record, press Export and uninstall and confirm. Every request and approval rule is exported to a file first.
  4. The two record types, the approval flow and the four roles are removed, with every permission rule that names one of them. A price an Applier has already set stays on the price list.
