Integration Core · checked 2026-10-15
Set up an integration in this order: a person to run it, the connection, a test, the switch, then a look at its first run. The same five steps are the Getting started card on the Integrations Hub. The connector for each system has its own setup page and its own help.
1. Add an Integration Manager
Search Desk for User and open the person who will run the integrations day to day. Give them the role Integration Manager. Give Integration Viewer to anyone who only needs to look.
- The person must be able to sign in to Desk.
- A connection's alerts go to the Integration Managers who may see that connection; if none may, to the System Managers. Make sure at least one enabled person holds the role, or alerts reach only the System Managers.
- Several storefronts, each with its own operator? Give each operator a User Permission on the iVendNext Integration Connector they run, for every document type (leave Applicable For empty). Their lists, reports, bell and emails then show only that connection.
2. Connect a system
- Open Connections from the Hub's Your connections card (or search Desk for iVendNext Integration Connector).
- Press Connect a system.
- Choose the System and press Start. The connector's own setup page opens.
- Fill it in as that connector's help says, and save. The connection then appears on the Connections list.
If the screen says Nothing can be connected from here yet, no connector app is installed on your site: ask whoever runs your site. If it names a role, ask someone with that role to start the connection.
3. Test it
Test the connection on the connector's setup page, as its own help says. To get there from a connection, open it and press Open setup. The connection's Connected Account ID then shows the account that answered.
4. Switch it on
- Open the connection from the Connections list.
- Press Switch on (top right). The question lists anything the connector says is Still needed; you can switch it on anyway — these are things to finish, not a block.
- Confirm. Your name and the time are recorded on the connection.
If it is refused with This connection cannot be switched on, see Switch on is refused.
5. Watch the first run
Open Connection Health from the Hub's Getting started or Your connections card. Until the connector's own scheduled check runs for the first time, the connection reads Not reported yet: that is expected. Then check that the site's scheduled jobs, and the connector's, are running.
The only proof an integration works is a real record reaching Applied on Integration Activity. At go-live, trust a record crossing more than the word Live.
Alerts by email and the daily summary
Both are optional, and both need the site's outgoing email account, which a System Manager sets up.
- Alert email. Integration Core ships a Notification, iVendNext Integration Alert by Email, switched off. A System Manager makes a copy of it and switches the copy on. Keep exactly one switched-on copy: two send each alert twice. Without an outgoing email account, each alert writes an Error Log entry instead.
- Daily summary. On the Connections list, open the ⋯ menu and choose Email me a daily summary. Once a day you get Connection Health by email, for the connections you may see. Stop my daily summary, in the same menu, ends it. Only an Integration Manager sees these two menu items, and you need an email address on your user.
