| Concept | What it means |
|---|---|
| AI assistant | The conversational AI application your team already uses, connected to iVendNext through the AI Gateway. Common choices are a desktop AI client and a web-based assistant. |
| Tool | A single, well-defined action the assistant can perform, such as "list documents" or "generate report". The AI Gateway ships a fixed set of these. The assistant chooses the right tool for each request. |
| Skill | A reusable instruction written by an administrator that teaches the assistant how to do a specific job well. The assistant pulls a skill on demand when it needs deeper guidance. |
| Prompt Template | A saved, parameterised question that a user can pick and fill in, instead of typing a long request from scratch. For example, "Sales Analysis" with a time period and focus area. |
| Capability pack | A group of related tools that an administrator can switch on or off as a unit. The Core pack is always on; analysis and visualisation packs are optional. |
| Document type | A kind of record in iVendNext, such as Sales Invoice, Customer, or Item. The assistant works with these by name. |
| Audit log | The permanent record of every action the assistant performed, including who, what, when, and the outcome. |
| Secure connection | The authenticated link between the AI assistant and iVendNext. The assistant signs in as a real iVendNext user and never sees that user's password. |
