Go-live checklist

iVendNext WooCommerce connector · version 2.1.0.136 · checked 2026-10-29

Use this checklist before the first store order is booked in iVendNext. Work down the sections in order. Sections 1 and 2 come before any key is typed. Each item says who answers it and how you know it is done. The connector refuses a great deal on its own and names what it refuses. These items are the things only a person can settle. For the steps themselves, see Connect your store.

1. Decide with the customer

Settle these before you open any screen.

Question Who answers Why it matters
Does the store charge tax, and do its prices include it? Finance and the store owner The store setting Prices entered with tax must match how the iVendNext price list is priced. Test Connection does not check this. The connection watches it afterward and alerts if someone changes it. A store that charges no tax: tick This Storefront Charges No Tax.
What shape are the tax templates? Finance and the consultant iVendNext creates no tax template, so someone builds each one. Ask about the template, not the country: one rate, several rows, a county, a postcode range. The connection form should count none refused ("N of your M storefront tax rules cannot be sent") before you switch a storefront over. An exempt class zeroes only the tax accounts its template names.
Does the store use tax classes? The store owner Note each class slug, not its display name. WooCommerce accepts an unknown slug with a success reply and then charges the standard rate. The connection refuses an unknown slug when you save.
Sales Order or Sales Invoice? Finance A Sales Order connection invoices what shipped and keeps the payment as an advance. A Sales Invoice connection books the invoice when the order arrives. Read What syncs today for the refund rules of each. A change applies to later orders only.
Does the site have what the Sales Order cycle needs? The consultant and Finance The Party Type rows (the setup wizard makes them) and an account for each payment mode. Without the rows, iVendNext finds no advance on any invoice. Without the account, a paid order waits and names the mode.
From which date should store orders be imported? The business owner Set Import Orders From. Orders changed before it are never imported. A blank value becomes the moment you press Register, and it is fixed after that.
Is a VAT period filed, and is it closed in iVendNext? Finance Close it with an Accounting Period, Accounts Frozen Till Date or a Period Closing Voucher. Decide Closed Period Posting. Where tax rules put a late credit note in the later period, set Refund Posting Date. iVendNext cannot see a VAT period that is filed but not closed.
Who refunds on the store, and how? The store owner Tell them to refund by quantity, or to fill in the tax box of the refund. A refund typed as a line amount with an empty tax box records no VAT.
Which order statuses are imported? Finance and the store owner Imported Order Statuses is processing, completed by default. Other orders are listed in Orders Not Imported (History). A store that takes bank transfer or cheque: an on hold order lowers the store stock before it reaches iVendNext.
When is each payment recorded? Finance Set Record Payment At for each payment method, and an account for your company on each payment mode. A method with no account waits. Cash on delivery is recorded at delivery, but not on a collect order, where the cash is received at the counter.
Which coupon campaigns does the store accept? The business owner Leave Coupon Campaigns empty unless you want vouchers online. Nothing crosses until a campaign is listed. Read the voucher limits first.
When do new customers arrive? The business owner and the consultant On Sign-up or On First Order. With On First Order, the till cannot find a shopper before their first order.
Do shoppers need to see points? The consultant Enroll each Customer: tick Loyalty Member and set the program. The plugin also needs its Connection tab filled in and Answer Balance Requests From The Storefront ticked.
Do shoppers collect from your shops? The store owner and the consultant Add one row of Pickup Location Mapping for each location before the first collect order. Use WooCommerce Local pickup, not the older method of a shipping zone.
Should shoppers pay the same price in every tax area, or see points? The store owner Install and connect the plugin iVendNext for WooCommerce.
Will shoppers download their invoices? Finance and a System Manager The PDF uses the site default Sales Invoice print format. A site with none set prints the standard layout, with internal fields and no invoice number. Set a customer-facing format as the default first, or untick Invoices on My Account.
Does the store run plugins that add order statuses? The store owner We test plain WooCommerce. An order in a status the connector does not know is stopped, and a person decides.
Is there a test copy of the store? The store owner Never point a live connection at one. On every test copy, delete the notifications that iVendNext registered.
Who is the Integration Manager? The customer The Integration Manager runs and watches the connection. Name them before go-live, or alerts reach no one.

2. The store has what it needs

The store owner checks these.

  • https with a valid certificate. iVendNext refuses a plain http:// address.
  • Permalinks and rewrite rules. Set permalinks to anything except Plain, and make sure the rewrite rules work. With Plain, the store answers API calls with its home page, and Test Connection says "The store answered, but not as WooCommerce".
  • A REST API key. It needs Read/Write permission. Usually Connect to store makes it: a store administrator presses Approve on a WooCommerce page. A read-only key cannot create the store notifications.
  • Three store settings. Tax calculation is on, stock management is on if iVendNext sends stock, and the store currency matches the price list. Test Connection refuses to go on when they do not match.

3. iVendNext has what it needs

Do these before any app is installed.

  • The site time zone is the shop's own. A time zone set after the apps are installed leaves each scheduled job first run hours away.
  • A System Manager. They take part beside the Integration Manager. The System Manager enters the keys, presses Register and grants the Integration Manager read on price lists, warehouses, accounts and payment modes.
  • Roles for the people who run the shop. Stock User and Sales User ship a Sales Order. Accounts User reads the invoices. Sales Master Manager changes an Item Price. Item Manager disables or enables an Item.
  • The site books the store price decimals. A store that prices at 3 decimals on a site at 2 loses the last digit of a price.
  • The company is the right one. You cannot change it after Register.

4. Before the first load of the catalog

  • Switch the connection on. Load Catalogue refuses to run on a connection that is switched off.
  • Set the Public URL first. The store fetches each picture from your site, so with the Public URL empty the catalog loads with no pictures at all.
  • Put the pictures on the items. Use the item picture in the form sidebar. A picture is sent only when a product is first created on the store.
  • Choose the buffer for each warehouse. It narrows the window in which the last unit can be sold twice. It never closes it.
  • Price every item the store will sell, and map the warehouses, the fulfillment warehouse, the shipping account, the fee account and each payment method. Press Test Connection again after you map them.
  • Returnable items. Tick Returnable on the items the store will take back. The field is 0 for every item, and the connector does not set it. Without it, an item sold online cannot be returned at the till.
  • Know that new products arrive as drafts. Nobody sees one until someone publishes it on the store.
  • For a store that already has products, the load matches them by SKU and links them. It does not duplicate them. When it finishes, its check should find nothing missing.

5. On the day

  • Register the notifications from the Store menu, after the Public URL is set. Live Updates should read Active. WooCommerce sends each notification once and switches it off after the seventh failure in a row. iVendNext also checks the store for changed orders every 5 minutes by default and re-reads the last 48 hours once a day. Do not tell the customer that no order can ever be lost, because a very busy second can still hide an order until the daily re-read.
  • Watch one real order cross. A Sales Order should carry the store order number, with the payment as an advance if the order was paid. Its lines, quantities, VAT and delivery should equal the store order to the cent. Ship it, and an invoice for what shipped follows.
  • Say the stock sentence correctly. Stock goes out on a sweep every five minutes by default, from the warehouses you include, less a buffer you set. Every hour, iVendNext checks the store figures and corrects them. Never say "real-time stock" or "no overselling".

6. If the customer removes the connector

  • Stop orders first. Stop the store taking orders. Then press Disconnect. If the form counts store orders not yet booked, press Reconnect, let one check import them, and press Disconnect again. Then settle the open records and revoke the REST key on the store. The key stays there until someone revokes it.
  • Know what an uninstall leaves behind. After you uninstall the connector app, its two scheduled job types stay on the site in a stopped state. Whether they run afterward has not been measured.
  • Core uninstall rule. On Core 2.1.0.182, the uninstall is refused while any record link is active. The refusal names the site setting that overrides it. A Core older than 2.0.0.138 does not refuse. Read the Core version under Installed Applications, and remove the connectors and settle their records first.
