Limits to expect

iVendNext WooCommerce connector · version 2.1.0.136 · checked 2026-10-29

This page lists the limits of the connector that a shop can meet. Each row says when you meet the limit and what to do about it. Nothing here is a promise about a later release. The connector is in beta, and the most serious limits are the ones about money. Integration Core has its own limits, which its pages describe. For limits that come from a missing feature, see What syncs today.

How long things take

What Usual time
A new order reaching iVendNext About a minute or less when the store notification arrives. About 5 minutes by the regular check if the notification is lost. Within a day by the daily re-read, in the rare cases described below.
A refund reaching iVendNext Allow up to about 5 minutes.
A price or product change reaching the store Within minutes, and at most the hourly check.
Stock reaching the store Every 5 minutes by default. At most about an hour and five minutes after someone edits it by hand on the store.

WooCommerce queues its notifications on its own scheduler. A store with little traffic runs that queue only when a page loads. The 5-minute check is the backstop for that.

Money and refunds

Limit When you meet it What to do
A refund withdrawn on the store is noticed for 30 days only. A refund withdrawn more than 30 days after it was made, on an order that never changes again. Within 30 days, a Missing Theirs row appears under Integrations Hub, Differences. Cancel the credit note, or before invoicing the payment entry. After 30 days, check refunds against the store by hand.
A withdrawn refund keeps its credit note until a person cancels it. Any store refund withdrawn after iVendNext booked it. Cancel the credit note. The customer keeps the credit until you do.
A refund on a permanently deleted store order is never credited by the connector. A merchant force-deletes an order that was refunded. The store no longer shows the refund. Tell the customer not to force-delete orders. An ordinary delete moves the order to the trash, where the connector can still read it. After a permanent delete, confirm the money reached the customer. Then book a return and link it.
A refund recorded with no VAT is booked as the store recorded it. A clerk typed a line amount and left the tax box empty. Tell the shop to refund by quantity or fill in the tax box. Accounts book the VAT by hand where the goods were taxed.
A refund with a stated amount below its lines credits the stated amount. A store refund with an amount lower than the value of the lines. Check the credit note. If more was paid back than the amount typed, Accounts book the rest by hand.
A partial refund of one line before invoicing takes the whole unit off the order. A clerk refunds part of a unit price before the order ships, on a Sales Order connection. The order says what the store kept. Bill that money by hand when the last invoice asks for it, or refund whole units at their price.
The store cancels a paid order. A shopper's paid order is canceled on the store with no refund. On a Sales Order connection, the order asks a person to decide, and the advance stays. Close the Sales Order by hand, press Keep iVendNext Version, and return the payment as your policy says.
Cancel and Amend of a paid Sales Order unlinks its advance. Someone cancels and amends a paid web order. Avoid it. The amended invoice reads as outstanding, and its refunds wait. If it happened, tell the integration team.
Cash on delivery refunds and door cash. A store refund on a cash-on-delivery order, and then delivery. Ship cash-on-delivery orders from iVendNext. For a cash-on-delivery order the store refunded, Accounts book the door cash by hand when the order is delivered. For an order a merchant completes by hand on the store, a weekly check books its delivery cash by itself if the Delivery Note was submitted in iVendNext in the last 14 days. Look at the order receipts before you book one by hand. Outside that window, book the receipt by hand.
Points are taken at the first invoice on a Sales Order connection. A shopper places two points orders before the first one ships. The order invoiced second is made without the points, and iVendNext says so and alerts. The store has already given that discount. Ship and invoice the first order before the second, or keep the connection on Sales Invoice.
Points spent on an order are not returned if the order is refunded. A refund of an order that spent points. The balance stays unchanged. Adjust it in iVendNext if your policy says so.
Amending a canceled invoice that carried loyalty points may take the points again. An invoice that bills no web order, canceled and amended. Call support before you amend such an invoice.
A voucher can be spent at the till and online inside the sweep window. Rarely. The window is a few minutes. The hourly voucher check reports it within the hour and names the order. A voucher spent online on an unpaid order is used up on the store but not closed in iVendNext, and the till can still accept it until a person acts on the report.
Paying with points can take a few cents less than the points are worth. A store whose prices exclude tax. Nothing to do. It never takes more.

Stock

Limit When you meet it What to do
Stock goes out every five minutes, not at once. Every sale of a fast-moving unit. Keep a buffer on the warehouse. The buffer narrows the window and never closes it.
After you change a buffer, press Load Catalogue. You raise or lower a warehouse buffer. The load sends every product whose figure the change moved. Without it, some products keep the old figure until the hourly check.
While a store order waits to be booked, no writer raises the store stock over it. A store that takes bank transfer or cheque, or an order waiting for a decision. Clear the waiting order. New stock for its items shows once the order is booked or closed.
A store plugin that shows a variation's stock higher than it stores lets the store sell what you do not have. A store whose plugin changes the displayed stock of a variation. Remove or reconfigure the plugin. The hourly check keeps a Difference open that says so. Call support.
A collect order Delivery Note is the signal that the order is ready. A collect order the buyer never collects. Submit the Delivery Note when the order is set aside. A no-show needs a return, and on a Sales Order connection a credit note on the invoice of that parcel.
The store shows one stock figure for all shops. A collect order for a shop with no stock. Its Delivery Note is refused. Move stock into the shop first.
A Delivery Note made by hand that names no invoice keeps its units off the store. A Sales Invoice connection, where a shop ships with a hand-typed Delivery Note. Make the Delivery Note from the invoice.

Tax and catalog

Limit When you meet it What to do
A tax rate that iVendNext no longer sends keeps charging on the store. A Tax Rule you deleted, unticked for the web, or that iVendNext refused after sending. A shop manager deletes the rate under WooCommerce, Settings, Tax. The hourly check reports it by name.
Pictures and descriptions are sent once, when the product is first created. Always. Put the pictures on the items before the first Load Catalogue, or press Send picture to store.
The check after Load Catalogue compares a product's name, category and brand. After every load. It does not compare the description, pictures or price. Price and stock have their own hourly checks.
An item in a catalog root that has sub-groups is sent with no category. Items placed directly in a root group. Place those items in a group below the root.
On a store older than WooCommerce 9.6, products go without their brand. Items that carry a brand. Upgrade WooCommerce to 9.6 or later, then press Load Catalogue.

Orders, customers and roles

Limit When you meet it What to do
A fee-only order waits for a person. An order with no product lines and only fees or shipping. Book it by hand once from the store order. Then use Record Links, Link manually, with Record Type Order and the store order ID.
An order whose coupon is worth more than the goods waits for a person. A coupon above the goods value, which no WooCommerce coupon does. Book it by hand and take the points off on its Sales Invoice. Enter the goods discount without the points.
A shopper who bought before the connection existed is not found at the till. Create New Customers is set to On First Order. Set it to On Sign-up, or create the Customer by hand with the same email.
No single role has both Accounts User and Integration Manager. A refund or payment that waits for a person needs both. Give the person both roles, or let two people work the row together.
The PDF a shopper downloads uses the site default print format. The first download, if the site has no customer-facing default. Set a customer-facing print format as the default for Sales Invoice, or untick Invoices on My Account.
An invoice reaches the store only as a private order note without the plugin. A store without the plugin. Install the plugin if shoppers should see their invoices.
After a store is restored from a backup, an id the store issues again is asked about. Only after a WordPress restore. A waiting record names the id. For a product, variation, category, brand, tax rate or voucher, press Retire Re-issued Link in the Store menu on the connection, then retry the record. An order, refund or customer keeps its own exit: Keep iVendNext Version, or book it by hand.
The order checks have narrow blind spots. A very busy second, a slow store, or a store with HPOS off after a time zone change. The daily re-read books most missed orders. For an order skipped after a time zone change, re-save the order on the store. Moving the store to HPOS removes the problem.

Vouchers

A fixed-amount voucher, and one for a category, a brand or the whole basket, cannot cross. Each is refused with its reason. A percentage voucher can give less online than at the mobile till on a basket with more units than the voucher's Applicable Quantity. For the full rules, see What syncs today.
