Consignment payouts
Retail Extensions · App · checked 2026-10-30 on a demo site
Consignment payouts is for a resale or consignment store: second-hand clothing, furniture, books, collectibles or luxury resale. The store sells pieces it does not own, and each piece belongs to a consignor, who is owed a set share of what it sold for. You name the consignor on each item you take in. When you pay them, a payout lists exactly what sold since the last one, at their share, from your own till sales and Desk invoices, with returns taken off. The app checks every line again before a payout is marked paid, so a sale is paid once (see Limits for what can still change that). This page covers what the app adds, how to set it up, how your staff use it, and how to remove it.
What it does
| Where | What you get |
|---|---|
| A consignor | The consignor's name, phone and e-mail; Consigned since (today unless you change it): no sale before it is ever theirs; and Consignor's share, the percent of what a piece sells for (after discounts, before tax) that is theirs. Numbered IVN-CSG-C-00001 and on. A consignor's payouts show under them. |
| On each item | Consignor (the Item list filters by it) and, where this piece pays differently, Consignor's share for this item. |
| A payout | One consignor, the company and Sales up to. Numbered IVN-CSG-P-00001 and on, and a draft until it is paid. |
| Work out the payout | A button on a draft payout. It writes one line for each sale of the consignor's items that is on no other payout: the date, the item, Sold for, the share and Consignor's part. A return's line is negative. It writes the totals and a summary, for example 4 lines: 3 sales, 1 return. Sold for 130.44 ZAR; the consignor's share 60.87 ZAR. Press it again to replace the lines with what is owed now. |
| Pay this payout | A button on a draft payout, for your Accounts Managers. The app reads everything again, checks each line is still exactly what is owed and on no other payout, and only then marks the payout Paid. Nobody can mark one paid by hand. |
| A paid payout | Locked by its rule: its lines, totals and payment cannot change. The app also counts its lines when it is paid; if they ever change, no later payout of that consignor works out until it is put back. |
| The payout statement | A print of the payout's lines and totals under your letter head, for the consignor. |
What you set up first
-
Install the app from the App library (see About Retail Extensions). The install adds the records IVENDNEXT CSG Consignor and IVENDNEXT CSG Payout, the two fields on Item, the payout's workflow (Draft, Paid, Cancelled), the lock, the statement, the two buttons and the role IVENDNEXT CSG Integration. It also makes the app's own user,
ivendnext_csg@integration.invalid, with that one role. That user works through the API only and can never sign in to Desk. Your site connects it to the app. It also adds a feed registration that names that user: leave the feed off. The buttons, their services and the lock come in switched off.
-
Search Desk for Retail Save Rule, open IVENDNEXT CSG payout locked once paid and switch it on. Pay this payout refuses while it is off.
-
Search Desk for Role Permissions Manager and give IVENDNEXT CSG Integration Read on POS Invoice, Sales Invoice, Item and Retail Save Rule. The install gives it its rights on the app's own records.
-
Search Desk for Retail Extension Subscription and open Consignment payouts work out: read what it is sent, tick the consent and switch it on. Do the same for Consignment payouts pay. Then search for Retail Desk Action and switch on Work out the payout and Pay this payout.
-
Decide who does what:
Who Role Does Intake Sales User or Item Manager Sales User keeps consignors; Item Manager names them on items The back office Accounts User makes payouts, works them out, records how each was paid The manager Accounts Manager checks a payout, presses Pay this payout, cancels a paid one A draft payout is the Accounts User's to edit: Desk shows it read only to anyone else. A manager who also fills a payout needs Accounts User too. Write on Item (an item's consignor and share) and on consignors (the share, Consigned since) decides what is paid, so give them only to people you trust with prices. A payout's Consignor and Company are fixed once saved: drop a wrong one and make it again.
-
Your site connects the app by itself. Only if a press says the app is not set up, or that it may not read, and your site could not reach the app or a key was lost: in the App library, under Installed, press Details, then Connect again.
Consignors
Search Desk for IVENDNEXT CSG Consignor and press + Add: the name, phone and e-mail, Consigned since and the Consignor's share. Save.

Then, on each item you take in from them, choose the consignor under Consignor (below the item group). Where this piece pays a different share, fill Consignor's share for this item; leave it at 0 for the consignor's own share.

Nothing changes at the till: the piece is sold, returned or exchanged like any other.
Payouts
-
Search Desk for IVENDNEXT CSG Payout and press + Add. Choose the Consignor and the Company. Sales up to is today; change it to pay up to an earlier day. Save.
-
Press Work out the payout and confirm. The lines, the totals and the summary appear. Lines come from:
- every submitted till sale of the consignor's items;
- every submitted Desk sales invoice of them (never the day's combined invoice of the till's sales, which repeats them);
- from the consignor's Consigned since to Sales up to, in the payout's company, that are on no other payout.
A payout has at most 500 lines, oldest first; the rest wait for the next one.

-
Print the IVENDNEXT CSG Payout statement for the consignor if they want it.

-
Pay the consignor your way (cash, a transfer, a check, store credit). Then fill Paid with, Paid on and the Payment reference, and save.
-
An Accounts Manager opens the payout, checks it and presses Pay this payout. The payout reads Paid and names the manager under Marked paid by.

Pay this payout says so and changes nothing when:
- Paid with or Paid on is empty;
- the lock is off;
- a line has changed since the payout was worked out, or a sale was canceled (work it out again);
- a line is also on another payout that is not canceled (a copied payout, for example: drop one of them);
- the returns are more than the sales (when more has sold, set Sales up to later and work it out again);
- another draft payout for the same consignor exists (pay it or drop it first).
A mistake. A draft you do not want: open Actions and choose Drop (Accounts User). A paid payout that was never really paid: Actions, Cancel (Accounts Manager); its lines come onto the next payout. No one but a System Manager can delete a payout.
If a sale is canceled after its payout was paid, the next payout takes it back once, as a negative line Taken back. If the payout that paid it is then canceled, a later payout gives that back as a Correction. A consignor has one draft payout at a time: a second one, a copy included, refuses to work out or pay until the other is paid or dropped.
Where it shows
In Desk only: the consignors, the payouts, the two buttons and the statement, and the Consignor field on Item. Nothing is shown on the till.
What leaves your iVendNext
On each press, your iVendNext sends the app's service at consignment-payouts.ivendnext.app (hosted by CitiXsys in the US) the user's login and language and the payout's name. The service then reads, with the app's own user: the payout, which carries the consignor's name and the payment reference; the consignor's share and Consigned since (never their phone or e-mail); the consignor's payouts and the lines of the paid ones; the consignor's items; each till sale line and Desk invoice line of those items, and those sales' state, company, date and whether they are returns; the lines other payouts have for the same sales; and, for Pay this payout, whether the lock is on. It writes the payout. It keeps nothing of a press. After the install your site sends it the buttons' signing keys and the API key of the app's own user, which it keeps until you remove the app.
Limits
- The share is the item's or the consignor's when the payout is worked out. If it changes before Pay this payout, the payout must be worked out again.
- An item moved to another consignor takes its unpaid lines with it. The app does not follow a return back to the sale it returns: a return made after the move is charged to the new consignor, and a return of a sale made before Consigned since to the consignor. Settle either by hand.
- When you start, set each consignor's Consigned since to the day after the last sale you already paid them for. Removing the app removes the payouts and with them the record of what was paid: if you install it again and bring the consignors back, bring their payouts back too, or set Consigned since again.
- Each press reads all the consignor's sales history; a consignor with thousands of sold pieces may at some point not fit the press's time.
- A piece sold after Consigned since but before its item named the consignor is counted for them.
- Sold for is the line's amount after discounts and before tax, in your company's currency, as iVendNext booked it.
- One consignor a press. A month's payouts are one payout per consignor.
- Pay this payout records the payment; booking it in your accounts (a purchase invoice, a journal, a gift card for store credit) is yours.
- While the lock is switched off, a paid payout could be edited; Pay this payout refuses until it is on. A System Manager who switches it off or deletes a paid payout lets its lines be paid again.
- Rounding is per line: a sale returned piece by piece can leave a cent between what was paid and what was taken back.
Removing it
In the App library, under Installed, press Details, then Export and uninstall. Removing the app removes its consignors and payouts and the two Item fields; the export keeps a copy. Your sales and items stay as they are.
