Partner Codes

A partner's extension can make a code for an item you sell, such as a voucher or a PIN. The code prints on the receipt. iVendNext keeps one Retail Partner Code record for each paid line, so you can see what the partner answered and cancel a code before a return.

Sell an item with a partner code

Sell the item at the till like any other item. The partner makes its code when the sale is paid. A few rules apply.

  • Sell it on its own sale. The till does not take it on a quote, an order, a layaway plan or a held sale. It says the partner makes the code when the sale is paid, and that you sell the item on its own.
  • Sell one per line. When the quantity is more than one, the till says "A voucher sells one per line. Add it again for another."
  • Sell it with a connection. When the till is offline, it says the partner "needs a connection to sell this item."
  • Return it only against its sale. A return with no receipt says "A voucher is returned only against its sale."

Wait for a code at the till

A receipt waits for its code. When the code is slow, the till offers Try again and Print without it. Try again asks the partner now. Print without it prints the receipt, and the tries go on. The receipt tells the customer the partner's code is on its way and to ask the store to reprint the receipt.

The till asks the partner three times by itself: at once, then about a minute later, then five minutes after that. After the third try only Try again asks. When the partner has not answered three tries, the till says "{0} has not answered. The sale is paid; try again later. To refund this line, cancel its code first." with the partner's name in place of {0}.

When the cashier has left that screen, open Find, then the sale, then Finish the receipt. That screen has Try again and Print without it.

When the partner could not make a code

The till names the line and the partner's reason, and says to refund the line. The receipt tells the customer to ask the store for a refund.

  1. Open the sale in Returns on the till.
  2. Return that line.

You do not cancel a code for this line. Only a Pending or an Issued code is live, and a Refused line has none.

Cancel a code before a return

A line whose code is still live cannot be returned. The till says to cancel the partner's code for the item first, and names both.

  1. Open the sale in Returns on the till.
  2. Press Cancel code under the line. The button shows for a Pending or an Issued code.
  3. Read the answer. When the partner says it canceled the code, the line can be returned.

The press asks the partner at once, with no confirmation. The code cannot be used after that. A person with the right to return the sale can cancel on the till.

When the partner refuses, the answer gives its reason, and the record shows it under Why the cancel was refused. When the partner does not answer, the till says the line cannot be refunded until it does. The code stays Issued. Press Cancel code again later.

A return made in Desk gets a message that names the record: "Open its Retail Partner Code record and press Cancel code." The till says "Open the sale in Returns and press Cancel code."

When a sale is canceled

When you cancel a sale, its codes are canceled with it. A code the partner will not cancel, or does not answer for, stays live and is flagged for review.

Find a Retail Partner Code in Desk

This part is a manager's job. Only a Retail Manager or a System Manager can open the records in Desk.

In Desk, search for Retail Partner Code and open the list. A record exists only for a line of an item that a partner's extension makes a code for. When no extension does, the list is empty. You see the records of your own stores.

Open a record to see the sale, the item, the partner and the status. The record is read only. Press Cancel code on the record to cancel a Pending or an Issued code. Desk asks you to confirm first, and the code cannot be used after that.

Status What it means
Pending The partner has been asked, or will be asked in a moment.
Issued The partner made the code. It prints under the item on the receipt and on every reprint.
Refused The partner could not make a code.
Voided The code is canceled.

The record also shows how many tries were made and the time of the last one.

Flagged for review is ticked when one of these happens.

  • The partner refused to make the code.
  • Three tries went unanswered.
  • A sale was rung offline, or a line has a quantity above one.
  • A sale was canceled and its code was not canceled.
  • A code was canceled a day ago and no refund followed. A daily check finds these.
