Erase a Customer's Personal Data
Erase a Customer's Personal Data
When a shopper asks you to erase the personal data you keep about them, you erase it from the customer's record in iVendNext Desk. The erase cannot be undone.
- Make sure the customer has nothing open: their sales closed into the till's day, and any held sale, order, quotation or amount owed finished or settled. If something is still open, the erase is refused and the message names the record.
- Open the customer in iVendNext Desk and choose Erase personal data.
- Choose Yes.
The button appears only for a person who may delete customers. If you do not see it, ask your administrator for that right. A store's walk-in customer cannot be erased.
What is erased
- The customer's name, phone numbers, email addresses, date of birth, photo and notes.
- The addresses and contacts that belong to this customer only. An address or contact shared with another customer is kept.
- The customer's change history, comments and attachments.
- The emails and text messages sent to the customer from the outbox, receipts included. An email written to the customer from a form in iVendNext Desk keeps its record.
The customer is then disabled. Each till drops the customer at its next sync; after that, no till finds them, online or offline.
What stays
- The customer's ID, because every sale points at it. If your customers are named by their name, that name stays in the ID, and so do the IDs of their contacts and addresses.
- Every sale and order, with the name and contact details printed on it, because a sale is a legal record.
- The customer's loyalty points, so the balance is not lost.
- A pharmacy's controlled-medicines register keeps the customer's details on its lines until their retention period ends. Then Erase persons' details on the register book removes them.
The message after the erase lists what was kept.
