What iVendNext offers a distributor
Distribution and warehousing · checked 2026-11-08
This page lists what a distributor can use in iVendNext today. The format is Distribution and warehousing: a distributor's warehouse and trade counter, or a retail chain's own distribution center. The warehouse works on iVendNext Handheld, the trade counter sells at the iVendNext POS at /pos, and the office, the order desk and the credit and collections work happen in iVendNext Desk. All of it runs on the same stock and the same books as your stores, beside the ERP you already run.
Every part below is in Desk, on the Handheld, at the till or in the App library today. Each part says who uses it, what it rests on and where you can have it. To set the parts up, follow Setting up a distribution center and trade counter. For the apps a distribution center turns on, see Distribution and warehousing on iVendNext.
What you get in distribution and warehousing
| What the distributor needs | Who uses it | What it rests on | Where you can have it |
|---|---|---|---|
| Goods in, with lots and serial numbers | Receiver, buyer | A purchase order in Desk, or raised on the Handheld, received on the Handheld's Goods Receipt PO, with the serial or batch numbers entered for each tracked item. A quality inspection and a landed cost voucher are written in Desk. See Receive stock, Quality Inspection and Landed Cost Voucher. | iVendNext Handheld comes with a key from iVendNext, in every country. Desk, in every country. |
| Where stock sits | Stock manager, receiver | A Putaway Rule in Desk, for an item in a warehouse, with a priority and a capacity, applied to a purchase receipt written in Desk. Bin locations keeps your locations, aisles and bins in Desk, with a note of what is in each, and the till's Where is it? key shows the bin of each item on a sale. The note does not follow stock; bins that follow stock are child warehouses with a Putaway Rule. See Putaway Rule. | Putaway Rule: Desk, in every country. Bin locations: App library, free, in every country, on CitiXsys hosting. |
| Orders by phone, by a sales rep and from the web | Order-desk clerk, sales rep | A quotation in Desk that becomes a sales order, an order taken at the till, and the web store's paid orders through the WooCommerce connection. See Quotation and Sales Order. | Desk and the till, in every country. WooCommerce comes with a key from iVendNext, in every country. |
| Credit | Credit clerk, counter clerk | A credit limit on the customer, the customer group or the company, in that order. A sale on account at the till that would go past the limit is refused, in words that say so. With no limit at any level, a customer buys on account only up to the credit they have. See Credit Limit and Payment Terms. | Desk and the till, in every country. |
| Pick, pack and deliver | Picker, packer, shipper | A Pick List made in Desk, one for each delivery address. On the Handheld's Pick · Pack · Deliver the picker scans each item, with the serial or batch a tracked line asks for, packs the cartons with their weights, and posts the delivery note. A packing slip is printed from Desk. Pick route is a separate Desk assignment: a button on a submitted sales order that gives a picker a pick task, listed under the order. The Handheld's pick starts from the Pick List. See Pick, pack and deliver and Pick List. | iVendNext Handheld comes with a key from iVendNext, in every country. Pick route: App library, free, in every country, on CitiXsys hosting. |
| Shipments and delivery trips | Shipper, dispatcher | A Shipment record in Desk for each delivery, with the carrier and the tracking number typed in. A Delivery Trip groups the deliveries of one vehicle. See Shipment and Delivery Trip. | Desk, in every country. |
| Invoices on terms, statements and collections | AR clerk, credit clerk | A sales invoice on payment terms such as Net 30, or 2/10 Net 30 with an early-payment discount. A statement of accounts for each customer, dunning letters for overdue invoices, and the receivables aging report. A payment is recorded as a payment entry, and your bank's statement can be imported to match the payments. See Payment Terms, Process Statement of Accounts, Dunning and Bank Reconciliation. | Desk, in every country. |
| The trade counter, on account and for a walk-in | Counter clerk | The iVendNext POS: a business customer buys on account within the credit limit, a payment on an account is taken at the till, and a walk-in customer pays at the counter. A trade account's purchase order number is asked for at Pay by Required sale details. A customer's order taken at the till shows on the till's pickup board. See Balance-backed tenders. | The till comes with a key from iVendNext, in every country. Required sale details: App library, free, in every country, on CitiXsys hosting. |
| The customer's own prices | Order-desk clerk, counter clerk | A price list on the customer or the customer group, set in Desk. The till uses the customer's list, then the group's list, then the store's. See Price Lists. | Desk and the till, in every country. |
| Each, case and pallet | Receiver, counter clerk | Units and conversion factors on the item, with a barcode for each unit. A sale by the case takes the right number of units off stock, and a box barcode scanned in a Handheld count adds the units in the box. Add each unit to the item's list of units before you sell by it. See Unit of Measure and Track Items Using Barcode. | Desk and the till, in every country. The Handheld comes with a key from iVendNext. |
| Returns | Counter clerk, receiver | A customer's return is taken at the till or written as a sales return in Desk, and goods sent back to a vendor are posted on the Handheld's Goods Return to Vendor. See Sales Return and Receive stock. | The till and iVendNext Handheld come with a key from iVendNext, in every country. Desk, in every country. |
| Transfers and counts | Stock officer, warehouse manager | A stock transfer between warehouses and a stock take, both on the Handheld, posted to the same stock records as the rest of iVendNext. A warehouse can start a stock take with the system quantity hidden. See Move stock and Count stock. | iVendNext Handheld comes with a key from iVendNext, in every country. |
| Reorder | Buyer | A reorder level and a reorder quantity on the item, for each warehouse. Once a day iVendNext adds an item at its level to a material request. See Material Request. | Desk, in every country. |
| Your own ERP | Head office | Connectors to SAP Business One, SAP S/4HANA, Acumatica, NetSuite and Sage X3. | Every country. Any other ERP is connected by a partner or your own developers. |

What a partner or your own team adds
An iVendNext partner in your region, or your own developers, sets up and extends what these parts do not cover. Examples are your own print layouts for an invoice or a packing slip, extra reports, and links to systems not listed above. They can copy the apps and change them. See How to customize.
For the order a distribution center is set up in, see Setting up a distribution center and trade counter.
